Looking for a memorable and outstanding venue for your next school fundraiser? Scitech is one of the coolest school fundraising ideas around, and offers your school the opportunity to foster a sense of school community and an easy way to make extra funds in a fresh, new and effortless way.

Scitech is available for exclusive after hours hire, where students and families of your school (up to 600 people) get private access to Scitech’s exhibition spaces and live science shows in the Science Theatre. Your guests are welcome to bring along picnic dinners, or you can even sell dinner and drinks as a great way to raise additional funds.

We can provide you with tips and advice to help you organise your Scitech fundraiser, including ticket and poster templates. Scitech staff will be on hand to assist with the management of your event, to greet your guests, manage their free parking and most importantly to entertain and share the wonders of Scitech.

WHY HOST A FUNDRAISER AT SCITECH?

Scitech is available for exclusive after hours hire and is a great option for your next fundraiser. Hosting your school fundraiser at Scitech is easy, and can:
• Involve the whole school community; encouraging fun, friendship and school cohesion.
• Support and encourage positive science attitudes and relationships amongst your school.
• Help raise much needed funds for the P&C or school community.

FUNDRAISING TIPS

Tickets
Ticket prices are set by the school and can be set at a per-head price, family price or other.
To help promote your event and make ticket selling easier we can provide you with poster and ticket templates. Alternatively, encourage teachers to have their students write invitations for their parents to attend, or make posters for a poster competition. We strongly advise providing guests with printed tickets to hand in upon arrival, rather than using a door list, as it helps to streamline entry to the event.

Fundraising Ideas
• Door prizes – the easiest way to issue a door prize ticket is with a book of raffle tickets. Asking guests to write their names on the back of their entrance ticket creates a long queue when they arrive.
• Raffles - ask local businesses to donate prizes.
• Auction, or silent auction
• Gold coin donation competitions – have guests guess the number of jelly beans in a jar etc.

Food
A great way to raise additional funds is to sell food and drinks at your event. Pizza, sushi, roast beef rolls, soft drinks, tea and coffee, beer, wine, cakes, lolly bags, quiches, sandwiches, curry or soup can all work well. You could ask a group of parents to be in charge of the food sales on the evening, or roster parents on for 30 minutes each. Please note, open flame and gas appliance are not permitted within Scitech.
Some schools prefer to invite families to bring a picnic dinner, which also works well. The level of catering you provide depends on what you wish to gain from your event.

Alcohol
You may also like to consider having a bar. As Scitech is not a licensed venue, please check with the Department of Racing, Gaming and Liquor (www.rgl.wa.gov.au) to confirm if you need to apply for an Occasional Liquor Licence (this is easy to do). You must let Scitech’s Functions and Event Coordinator know before you apply and provide a copy of the licence once it is granted.

Parking
From Friday 14 December, Science Centre visitors will now need to purchase a $5 all day parking ticket. To buy your $5 all day ticket:
• Park your car in one of the available parking bays
• Make note of your licence plate number (we recommend taking a photo of it)
• Head upstairs to the Scitech Centre and purchase your ticket
• Go to the parking machine inside the WA Science Zone, purchase your $5 all day ticket and register your license plate number.

Payment can be made via card (tap-n-go) or with coins. One hour FREE parking will continue to be available at the Centre, but you’ll still need to register your car in the car park. By following these simple steps, you will avoid paying $24 for the day when purchasing your ticket downstairs in the carpark.

Important information

THINGS TO NOTE

As an unlicensed and un-catered venue, all catering, service, linen, flowers, décor, hire of additional equipment and tables, and special audio visual requirements are at an additional cost to the hirer and must be organised through a third party.

CATERING
Catering arrangements are to be organised by the client. Scitech must be notified of catering arrangements no later than 5 days prior to the event. Please note that there is limited catering equipment onsite, however most catering companies can accommodate crockery/cutlery/glassware hire into their quotes.

We have a kitchen available should you wish to book in caterers. It contains bench space and access to power and instantaneous hot water. There is direct lift access to the kitchen from the carpark. Please note, open flame and gas appliance are not permitted within Scitech.

Scitech’s preferred caterer is Heyder and Shears, you can however engage any caterer you would like for your event. Other caterers that may be of interest, depending on what level of food and service you are after are Innovations Catering or Nosh Catering. You are even welcome to have pizza delivered.

ALCOHOL
Scitech is not a licensed venue, however you are of course welcome to have alcohol. If you intend to sell, provide or permit alcohol at your event, you must confirm with the Department of Racing, Gaming and Liquor (www.rgl.wa.gov.au) if an occasional liquor license is required and obtain one if necessary.
All alcohol must be served and consumed legally, in a responsible manner.

AUDIO VISUAL
Scitech can provide basic projectors and centre-wide PA. We can also set up basic PA systems for speeches for your event. Any specialty audio-visual requirements are to be organised separately by the hirer.

OTHER
Hire of trestle tables (8), tablecloths (4 free of charge), high-top bar tables (4), drink tubs (4), urn (1) and bain-maries (2) are inclusive in the base cost of venue hire. Terms and Conditions

A venue hire contract including full terms and conditions will be issued upon booking. The signed contract along with the booking deposit will confirm the event.

PRICING
Rates are valid from 1st July 2018. Prices may be subject to change without notice. Additional security charges may be incurred if events or pack-down finish later than specified times or for guest numbers over the quoted number of people. Public Holiday rates are available on request.

BOOKING CONFIRMATION
Scitech requires a deposit of $200 to secure the booking, as tentative bookings will be held for 14 days only. Signing this contract and/or payment of a deposit is your acceptance of the following terms and conditions.

CANCELLATIONS
If cancellation occurs within fourteen days of the event, 50% of the agreed venue hire cost is payable. The deposit is non-refundable and non-transferable if cancellation occurs within eight weeks of the function date. If no deposit is received the booking date will be released, however the Functions Coordinator will make an effort to contact the client prior to canceling the event.

CATERING
All catering, service, linen, flowers, décor, hire of additional equipment and tables, musicians and special audio visual requirements are at an additional cost to hirer and must be organised through a third party. Scitech must be notified of catering arrangements no later than 5 days prior to the event.

FINAL DETAILS
To ensure that your event is of the highest standard, we require confirmation in writing. Final details including beverages/liquor licenses, catering and guest numbers must be provided no later than 5 days prior to the event.

DELIVERIES
The Functions Coordinator must be notified of all deliveries beforehand. Deliveries should be marked with the name and date of the function and addressed to the Functions Coordinator.

FEES
The balance of the account is to be finalised no later than 14 days from the invoices date, which will be issued after the function. Function fees are subject to change and Scitech reserves the right to alter fees at its discretion. Every attempt is made to honour prices as printed, however prices may be altered where we incur a cost increase due to circumstances beyond our control. For example, larger than anticipated guest numbers, last minute request for use of PA etc. Any change in price will be advised within 30 days. All prices are GST inclusive.

Payments can be made by cash, online transfer, cheque, VISA, Bankcard or Mastercard. Please make cheques payable to Scitech.

VENUE CAPACITY: SCITECH, THE SCIENCE THEATRE AND THE PLANETARIUM
Scitech has a maximum capacity for functions of 600 people (Science Theatre seats 144 people and the Planetarium seats 175 people). Additional numbers will not be admitted. Please note that additional costs apply for hire of the Planetarium and children under four will not be permitted into Planetarium live or full-dome shows. Please ask your Functions Coordinator for further information.

Standard functions or fundraisers using Scitech’s exhibition spaces are for up to 300 guests. Events with 301-500 guests will be charged an additional $250 and events with 501 – 600 guests will be charged an additional $350.
Events in Scitech Foyer and Theatre are for a maximum of 144 guests and those in the Planetarium are for a maximum of 175 guests.

DAMAGE AND INSURANCE
Scitech will not accept responsibility for loss or damage to equipment or merchandise left on the premises during events. Damage to the building or property, caused by the client will be the responsibility of the client and the client will be charged the replacement or repair costs, to a maximum limit of $10,000.

EVENT DURATION
The function time is three hours only. An additional half an hour setup and pack-down time is inclusive in the cost. Any additional time will be charged to the client to cover additional staff and security costs. Functions after midnight will incur additional costs.

LIQUOR LICENSE
In all cases where there will be alcohol on site for an event, Scitech’s Function Coordinator must be notified in writing, no later than 5 days prior to the event.
All alcohol must be served and consumed legally, in a responsible manner.
Scitech is not a licensed venue. If you intend to sell or provide alcohol at your event, a liquor license must be obtained from the Department of Racing, Gaming and Liquor (www.rgl.wa.gov.au). Your Functions Coordinator must be notified when you apply for a license and provided a copy once it has been granted prior to the event. If you chose to allow your guests to BYO alcohol, whilst a license may not be required, Scitech must still be notified in advance. Scitech will assume no responsibility for the sale, supply or consumption of alcohol at events on its premise. Scitech’s Function Supervisors will work closely with the client to ensure the safe and smooth running of their event. However the Function Supervisor reserves the right to; prevent intoxicated or disruptive guests from continuing to drink, ask them to leave the premise, ask for the supply/sale of alcohol to cease, and in the most severe of situations, close the event.

SMOKING
Scitech is a non-smoking venue.

EQUIPMENT HIRE
Hire of trestle tables (8), tablecloths (4 free of charge), drink tubs (8), urn (1) and bain-maries (2) are inclusive in the function cost. A portable PA system ($250), staging ($400), LED par can lights ($25 each) and additional table clothes ($15 each) are also available at an additional cost. Please contact your Functions Coordinator for further information. Clients are financially responsible for any damage to this equipment, by themselves or guests during the function.
